How to Create an AI Custom Field

Now that you understand what an AI Custom Field is, let’s see how to create one inside DoubleTick.

In this guide, we will use an example:

Deal Qualification Score

You can follow the same steps to create any AI-based field for sales, support, billing, or retention.

Step 1: Log in to Your DoubleTick Account

  1. Log in to your DoubleTick account using your registered login number.

  2. Enter the OTP to access your dashboard.

  3. After login, you will land on the Chats by default.


Step 2: Navigate to Custom Contact Fields

  1. From the Home Page, hover to the left side of the screen.

  2. The navigation panel will open.

  3. Click on Settings.

  4. Inside Settings, search for Custom Contact Fields.

  5. Click on Custom Contact Fields.

At the top of this page, you will see a message mentioning AI Custom Fields and chat scanning capability.

Next to it, you will see a button:

Set Up AI Custom Field

Click on this button to begin.


Step 3: Start Creating the AI Custom Field

Now the actual configuration process begins.

1. Field Name

Enter: Deal Qualification Score


2. Defined Per

You will see two options:

  • Customer

  • Channel

This determines where the data is stored.

  • Customer means the value is unique per customer.

  • Channel means each connected WhatsApp API number can have a different value.

For sales qualification, select: Customer


3. Field Type

Select: Multi-Select List

(No need to change this.)


4. Method to Update Values

By default, Static is selected.

You must change this to: AI-Based Field Values

Once selected, you will see a note that:

AI will update custom fields every one hour from the time this field is saved.


5. AI Will Scan For

You will see two options:

  • Customer Messages

  • Customer and Team Members Messages

If you want the AI to analyze both sides of the conversation, select:

Customer and Team Members Messages


Step 4: Add AI Instructions (General Description)

In the General Description of this field section, enter the following:

Analyze the customer's messages and determine the overall deal qualification strength based on buying intent, budget signals, urgency, authority involvement, and business fit.

Evaluate:

  • Purchase intent strength

  • Timeline urgency

  • Budget confirmation or objection

  • Decision maker involvement

  • Business scale or use case seriousness

Assign one qualification level based on the overall conversation context.

Do not assign a high qualification level unless there are clear buying signals supported by the conversation.

This description guides the AI on how to evaluate conversations.


Step 5: Add List Items (Qualification Levels)

Now you will define the values that AI can assign.


1️. Highly Qualified

Value Name: Highly Qualified

Description: Strong buying intent, timeline confirmed, authority involved.

Signals:

  • Asking for payment link or invoice

  • Internal approval completed

  • Discussing implementation timeline

  • Ready to start immediately

Click Add Item.


2. Moderately Qualified (Potential Deal)

Value Name: Moderately Qualified

Description: Interested but missing one key factor such as budget, authority, or timeline.

Signals:

  • Asking detailed questions

  • Comparing plans

  • Needs internal discussion

  • Evaluating competitors

Click Add Item.


3. Low Qualified

Value Name: Low Qualified

Description: Early-stage inquiry with no urgency or defined purchase timeline.


4. At Risk / Weak Deal

Value Name: At Risk / Weak Deal

Description: Low probability of conversion due to hesitation, pricing resistance, or repeated delays.


Once all four list items are added, click: Save

Your AI Custom Field is now successfully created.


What Happens After Setup?

Once saved:

  • AI scans chats periodically

  • The field updates automatically

  • Customer profiles get structured labels

  • You can filter, segment, automate, and generate reports

Setup takes a few minutes. The visibility it provides lasts long term.
