How to use Call Missed Webhook
Never Let a Missed Call Go Unnoticed — Automatically Follow Up Before the Customer Reaches Out to a Competitor
A potential customer calls your business on WhatsApp. Nobody answers. The call rings out. The customer puts their phone down and opens Google to find another provider.
That missed call just became a missed opportunity — and your business never even knew it happened.
In most teams, missed calls are discovered late. An agent eventually checks the call history, notices a missed call from two hours ago, and tries calling back. By then, the customer has already spoken to someone else, booked elsewhere, or simply lost interest.
The Call Missed Webhook changes this entirely. The moment a call goes unanswered and is marked as missed, this webhook fires instantly — giving your business the chance to respond before the customer moves on.
What Is the Call Missed Webhook?
In DoubleTick, when a customer calls your business number and no agent answers within the specified time, the call is marked as missed. The Call Missed webhook fires at that exact moment — capturing all the details of the missed call and sending them to your connected system instantly.
Think of it like a security alarm that goes off the moment a call goes unanswered. Your system is notified immediately so the right person can take action right away — not an hour later when someone happens to scroll through the call log.
When Does This Webhook Trigger?
This webhook activates when:
A customer calls your WhatsApp Business number on DoubleTick
No agent answers the call within the specified time
The call status is marked as missed
Step-by-Step Setup Guide
Step 1: Open Webhooks in DoubleTick
Log in to your DoubleTick account
Go to Settings
Click on Webhooks
Step 2: Create a New Webhook
Click New Webhook
Give it a clear name — for example:
Missed Call Tracker
Step 3: Get Your Webhook URL
You need a destination URL — this is where DoubleTick will send the missed call data the moment it happens.
You can connect it to:
A CRM like Zoho, HubSpot, or Salesforce
An automation tool like Zapier or Pabbly to route the data into your CRM
Your own backend or internal notification system
For testing purposes, you can use DoubleTick's Bot Studio to capture and preview the data first:
Open a new tab and go to Bot Studio
Click Create New Bot
Set the trigger to On Webhook
Copy the webhook URL that appears
Step 4: Fill in Webhook Details
Go back to the Webhooks page
Paste the webhook URL
Select your API Number (your WABA/WhatsApp Business number)
Click Continue
Step 5: Choose the Event
Select Call Missed from the event list
Click Create Webhook
Your webhook is now live and tracking every missed call the moment it happens.
How to Test It
Call your WhatsApp Business number from a test customer number and do not answer it
Once the call is marked as missed, go to Bot Studio → Capture Response → View Response Data
You will see all the data captured at the exact moment the call was marked as missed.

Real-Life Business Use Case
A Luxury Wedding Planning Studio Turning Every Missed Call Into an Instant Personalised Follow-Up
The Situation
A premium wedding planning studio handles inquiries from couples planning high-budget weddings. Every prospective client represents a significant revenue opportunity — packages start at several lakhs and go well above that for destination weddings. Their team of wedding consultants manages all client communication through DoubleTick.
Prospective clients typically call when they are actively in decision mode — shortlisting vendors, comparing packages, and ready to have a real conversation. The window of high intent is short. A couple calling to inquire about availability for a specific date is often calling two or three other planners at the same time. Whoever responds first, most warmly, and most professionally tends to get the booking.
The Problem
The studio's consultants are frequently busy on calls with existing clients, in venue site visits, or in vendor meetings. Missed calls from prospective clients were inevitable. But the process of recovering from a missed call was painfully slow and entirely manual.
A consultant would finish their current engagement, check their call log, see a missed call from an unknown number, and attempt a callback — sometimes two or three hours later. By that point, the couple had already spoken to another planner and in several cases had already signed a contract elsewhere.
The studio was losing high-value bookings not because their service was inferior but simply because they were not fast enough to respond to missed calls. There was no automated system to acknowledge the missed call to the customer, no immediate internal alert to the team, and no way to prioritise which missed calls needed urgent attention.
How the Call Missed Webhook Solves This
The studio connects the Call Missed webhook to DoubleTick's Bot Studio.
The moment a call is missed, the webhook fires and triggers a bot workflow. The bot immediately sends a warm, personalised WhatsApp message to the customer's number — the same number captured in the customer phone number field — within seconds of the missed call.
The message reads something like: "Hi, we just missed your call and we are so sorry we could not pick up. We would love to connect with you about your special day. Could you let us know a convenient time to call you back, or feel free to share a few details about your wedding plans and we will get back to you right away."
At the same time, the missed call details — the customer's name, phone number, and the exact time of the missed call — are automatically logged in the CRM as a high-priority follow-up task assigned to the next available consultant.
Because the customer's name is already captured in the webhook data from DoubleTick, the automated message feels personal and immediate — not like a generic autoresponse. The customer knows their call was noticed and that a real response is coming.
For existing clients whose names are already in the system, the CRM flags the missed call against their profile so the assigned consultant can follow up with full context about their ongoing wedding plan.
For new prospects whose numbers are not yet in the CRM, a new lead record is automatically created with the missed call as the first activity entry — so no inquiry is ever lost.
The Result
Every missed call receives an automated, warm WhatsApp acknowledgement within seconds — keeping the prospective client engaged instead of moving on
Consultants receive an immediate internal alert and a CRM task the moment a call is missed — so follow-up happens in minutes, not hours
The studio never loses a high-value inquiry to a slow response again
Prospective clients feel valued even before speaking to anyone because their missed call was acknowledged instantly and personally
The CRM maintains a complete log of every missed call with timestamps — giving the management team visibility into peak missed call periods and helping them plan staffing and availability more effectively
Conversion rates on inbound inquiries improve significantly because the response window shrinks from hours to minutes
Summary
The Call Missed Webhook turns one of the most damaging communication gaps in any business — an unanswered call — into an immediate, automated recovery action. The moment a call goes unanswered, your system knows about it and can respond on your behalf before the customer loses interest. In high-stakes, high-competition businesses where response speed directly determines whether you win or lose a client, this webhook is one of the most valuable tools you can activate.
Set it up once, and a missed call never means a missed opportunity again.
