How to create personalized signatures

Create personalized signatures for messages sent to WhatsApp Groups.

Team-based WhatsApp messaging often creates a strange disconnect: a customer chatting in a shared group can't tell which human on the other end is actually responding. DoubleTick addresses this with sender signatures — a feature in Group Chat settings that appends a team member's name to their messages. This guide walks through how to enable and customize it.

Step 1: Locate the Setting

1. Go to Settings.

2. Navigate to the Group Chats section (you can also search for it directly using the settings search bar).

3. On this page, you will see a toggle labeled "Show sender's name in message footer." By default, this toggle is disabled.

4. Flip the toggle to Enabled.

5. A confirmation banner appears: "Sender signatures will now be shown in group chat messages."

6. A new button, Customize Your Signature, appears beneath the toggle.

Step 2: Customize Your Signature

1. Click on Customize Your Signature.

2. You will be taken to the Your Profile settings page, where a new panel titled "Customize Signature for Group Messages" appears alongside your existing profile fields (name, email, phone, primary channel).

This panel includes:

• A text box with a 50-character limit

• Two formatting buttons: Bold (B) and Italic (I)

• A live Preview pane on the right side of the screen

Step 4: Preview Your Signature

The preview pane renders a sample WhatsApp bubble showing a generic message body ("Hi, kindly let us know if you're still with us so we can move forward and assist you.") followed by your signature on its own line, prefixed with a tilde — for example, "~ Amoolya Kamath."

Typing into the text box updates the preview in real time, so you can see exactly how the signature will look to a customer before saving.

Formatting options:

• Clicking B wraps the signature in bold, in both the editor and the preview.

• Clicking I applies italics.

• Both can be combined for bold-italic text.

Step 5: Save Your Signature

1. Once a name is typed, the green Save button becomes active. (It stays grayed out if the field is empty or unchanged.)

2. Click Save.

3. A confirmation toast appears: "Signature successfully updated."

4. The signature is saved — navigating away and returning to the page will show the same saved signature still populated in the box and preview.

How This Works

There are two layers of control:

• A global on/off toggle ("Show sender's name in message footer") that applies to the entire workspace.

• A per-user free-text signature that each team member configures and previews in their own profile settings before saving.

Why It's Useful

For businesses running group broadcasts or shared-inbox conversations through DoubleTick, sender signatures close a small but real trust gap. Instead of every teammate's message looking identical and anonymous, each outgoing group message can close with a human name, similar to an email signature. This is especially useful for support or sales teams sharing a single WhatsApp number across multiple agents, since it lets customers know who they're speaking with in that instance, without needing separate accounts or phone numbers per teammate.
